CUSTOMER CHALLENGES

Creating insight in departmental spend was a big change and required a good change management plan. Especially as a lot of non-happy flows were only provided at a very late stage during user acceptance test, adoption had to be managed on short notice for sign off by the business.

A large part of project staff was located remotely, which was an entirely new way of working for this organization and required a different approach in managing the project.

OUR CONTRIBUTION TO SUCCESS

  • Purple Square participated in this transformation in a role as IT project manager. The project was more than just implementing a technology solution.
  • Focus of the Purple Square IT project manager on transformation and change management contributed significantly to the success of the project.
  • From the start of the project onwards, a flexible team with a common goal to deliver a successful project was created including strong sponsorship and leadership with quick decision taking.
  • The focus for the coming years will be on stabilizing the solution and capturing all indirect spend in Coupa. The solution will include additional functionalities like invoice control and enable project control next to cost centre spend. Insight and KPI’s will drive cost saving such as reducing the number of suppliers, get better deals and reduce non-essential spend.

The Coupa solution and embedded new way of working facilitated the compliance that the business needed in the indirect spend process. Standardization throughout the organization supported end-to-end operational excellence of the indirect procurement process. The process was simplified by reducing complexity and exceptions (no one-offs). Not only the procurement process, but also the related IT application landscape was standardized and simplified.
